We are looking for a young, dynamic, and organized candidate in our growing team to support in knowledge management actions. The ideal candidate will have a strong background in data management, quality assurance, and knowledge management, with a keen eye for detail and a commitment to data integrity. The individual in this role will oversee the management of critical knowledge resources, including project databases, the company’s portfolio of past projects, and conduct data consolidation and analysis. The successful candidate will ensure that these assets are organized, easily accessible, and effectively utilized to enhance the quality and efficiency of our consulting services and business development efforts.

Key Responsibilities

Some of the key responsibilities of the role include:

Information Resource Management

  • Maintain, update and periodically improve the repository for key assets, including proposals, reports, project documentation, and other intellectual assets.
  • Maintain and improve an organized, detailed portfolio of the organization’s past projects, showcasing key achievements, lessons learned, and impact.
  • Regularly update the portfolio with new project information, ensuring it is a dynamic resource that accurately reflects the organization’s capabilities and experience.
  • Ensure that information is easily retrievable and well-organized, supporting both ongoing projects and new business development efforts.
  • Manage the storage, categorization, and version control of all knowledge resources to ensure data integrity and security

Data Consolidation and Analysis

  • Conduct regular audits of the organizational databases to verify the accuracy and completeness of encoded information.
  • Identify and rectify discrepancies, inconsistencies, and errors in the data to maintain consistent information.
  • Gather and consolidate information and documents from various sources related to project performance, including successful and unsuccessful bids, project outcomes, and client feedback.
  • Analyze historical proposal data to identify trends, success factors, and areas for improvement. Reports must be conducted on a monthly and quarterly basis.

Systems and Process Optimization

  • Improve and enforce processes for KM within the team
  • Identify and implement relevant tools and systems to improve the efficiency and effectiveness of existing processes within the unit
  • Continuously assess and refine knowledge management practices to align with organizational goals and industry best practices
  • Stay up-to-date with emerging technologies in knowledge management and recommend their adoption when appropriate

Profile

Qualifications

  • Bachelor’s degree in Knowledge Management, Information Science, Development Studies, or a related field.
  • 1-2 years of experience in knowledge management, preferably within any development sector organizations or projects, is DESIRABLE.
  • Strong organizational skills with meticulous attention to detail.
  • Proficiency in tools for data analysis and database management such as Google Suite, Airtable, HubSpot is DESIRABLE.
  • Excellent written and verbal communication skills.
  • Ability to work independently and collaboratively within a team.
  • A proactive approach to problem-solving and process improvement.
