Role Description The Administration & Operations Manager builds and runs the organisation's operational backbone. This role drives the work on company secretarial matters, financial administration, HR and office operations, and provides logistics support for AWE's events and convenings. It suits someone who is highly organised, sophisticated with diplomatic approach of interaction, discreet with sensitive information, diligent with high integrity and comfortable being the operational anchor for a small, fast-moving team.

Key Responsibilities

  • Support Corporate Affairs team to manage statutory compliance and company secretarial matters (board resolutions, annual filings, registers, licensing), working with external company secretarial or legal providers as needed
  • Oversee day-to-day administration: office management, vendor and contract management, procurement, and record-keeping
  • Support financial operations: budgeting inputs, invoicing, expense tracking, and liaison with accountants/auditors
  • Support HR administration (in coordination with Octave China HR team): onboarding, contracts, leave tracking, and basic people-operations processes as the team grows
  • Provide A-Z logistics support for AWE events and forums: venue sourcing and contracting, vendor coordination, travel and accommodation arrangements for speakers/VIPs, on-site logistics, and budget tracking for events
  • Act as a key point of coordination between the Executive Director, board, and external partners on operational matters
  • Establish and maintain operational systems, templates, and SOPs appropriate for a growing non-profit/social enterprise

Profile

  • 5+ years of administration, operations, or company secretarial experience
  • Prior experience with company secretarial services strongly preferred (in-house or via a CS provider/law firm)
  • Experience supporting event logistics (conferences, forums, or convenings) is a strong plus
  • Bilingual business proficiency mandatory: fluency in English and Cantonese; Putonghua an advantage
  • Preferred experience with global organisations or cross-border teams
  • Highly organised, detail-oriented, and trustworthy with confidential and financial information
  • Strong team player spirit, proactive can-do attitude, hands-on approach and comfortable working in a lean team environment
