Purpose / Role
To coordinate and assist the Event manager in all aspects of the Kuala Lumpur office events program that will provide tangible benefit to EIC members.
Key aims and objectives
• To ensure the highest standards of professional interface, procedures and practices are adopted both internally & externally.
• To assist the Event Manager and coordinate all related activities to deliver a regular, high quality program of events for KL Office
Prime responsibilities and duties
• EIC APAC Event Program – Assist the Event Manager to identify and plan event program which would currently include but not be limited to;

➢ ÉIC Energy Connect
➢ EIC Awards
➢ EIC Inform – Client Engagement Webinar
➢ EIC Annual Breakfast Networking
➢ EIC Members Monthly Catch Up
➢ Business Presentations
➢ Corporate Entertainment
➢ Assistance with regional Exhibitions as and when required
➢ Assistance with Trade Delegations when required
• All marketing of events to be aligned and presented with the EIC product definition and branding.
• Create a budget for each event in order to control cost, mitigate risk and achieve a surplus, and create a Profit & Loss statement for each event.
• Create an event outline to include venue, catering, logistics, health and safety, AV requirements etc.
• Produce effective, accurate marketing material for the events program and distribute via appropriate channels, including the EIC website, e-mailshots, print (in-house publications) and in person by networking with members, regional committee members and delegates.
• Process bookings and manage the booking journey on the online system.
• Preparation of delegate packs, delegate lists and badges.
• Manage the catering, transport and logistics where appropriate
• Set up event/training room, ensuring AV equipment to working etc.
• Set up EIC promotional banner stands etc. where required.
• Collation of feedback for regular review meetings.
• Invoicing and debt chasing where required.
• On-site training program management and event support where required.
• Issue certificates for courses and email presentations post event.
• Deal with general enquiries from members and non-members.
• Research and build mailing lists to enable targeted marketing.
• Research and suggest any new initiatives for the Kuala Lumpur Office.
• Attend out of office business meetings where appropriate with potential suppliers / new event venues / EIC members and industry contacts and relay any relevant information gathered to the correct person / department within the EIC.
• Maintain the Regional Director of Asia Pacific’s diary and coordinate all necessary travel arrangements including local & international travel, visas and accommodation where required.
• Any other duties which may be required and related to the above.
Allied occasional duties
• To carry out other such duties as may be required from time to time within a timely manner.
• Occasional requirement to travel and work outside the usual 9am – 5pm office hours

Required
• Some events experience
• Venue administration/management.
• A proven and effective networker with the ability to communicate at all levels
• A confident team player, who enjoys personal interaction and can maintain a close working relationship with all internal departments,
• Strong IT Skills– confident use of Microsoft Office packages; ability to be quickly trained in the use of other software such as Adobe Photoshop and the EICDataStream system.
• Ability to work on own initiative, manage own workload and meet deadlines to achieve goals.
• Ability to work in a dynamic and pressurized environment.
• Results orientated.
• Flexibility to changing work demands.
• Strong communication skills internally and externally
• Exceptional attention to detail.
• Ability to produce precise written work (reports, finances, marketing material etc.).
• Flexible approach to working hours to meet event and operational requirements.
