➔ Description of the mission

Position Overview

Gravity Water is a US non-government organization that turns rain into safe water for schools in need. We are looking for a Communications Coordinator to strengthen school partnerships, manage surveys and data, and support the reporting needs of our programs in Vietnam.

The Communications Coordinator will work closely with schools, project coordinators, and international team members to ensure that surveys and data collection are completed accurately and on time, that reports are submitted in the correct format, and that communication with schools remains clear and consistent.

This position reports to the Vietnam Country Director and works in coordination with the International Programs Director and Global Technical Manager.

Responsibilities

Key duties include, but are not limited to:

1.School Partnerships

  • Maintain strong and positive communication with partner schools.
  • Ensure all schools understand survey requirements and reporting timelines.
  • Respond promptly to school questions and support smooth coordination between schools and project teams.

2. Survey Management

  • Create new Bi-Annual Surveys in Survey123 as needed.
  • Update the Baseline Survey to include additional months or remove outdated questions when required.
  • Coordinate with Project Coordinators to ensure:
  • Site Assessment Surveys are completed for all schools before installation. o The technical feasibility of each installation is confirmed. o All schools complete the Baseline Survey before installation.
  • All schools complete the Bi-Annual Surveys every January and August.
  • Complete the [VN] Baseline Survey (to be completed by Gravity Water) accurately.
  • Complete Project Completion Reports for all schools, including:
  • Filling out the Water Quality Report Form. o Updating the Monday.com board.
  • Saving and organizing media files in properly labeled folders.
  • Check survey data for missing, incorrect, or unrealistic information (e.g., 100% attendance rates, mismatched cost and volume data, etc.) and contact schools to fix these issues.

3. Reporting and Data Management

  • Provide accurate data and relevant inputs to support the International Programs Director and Vietnam Country Director in preparing donor reports.
  • Support program reporting to government authorities when required.
  • Ensure the Gravity Water Completed Project List is kept up to date with all completed builds in Vietnam.
  • Support MEL data reporting to Santa Clara University in the required format.
  • Prepare learning reports and data analyses as requested to help generate insights from collected data.
  • Create RainBox stickers using Canva.com and support other similar communication or design tasks.

4. Administrative and Coordination Support

  • Support project implementation, documentation, and related administrative tasks.
  • Travel to project sites as needed to assist with implementation, monitoring, or coordination activities.
  • Translate documents between English and Vietnamese as needed.
  • Perform other duties as assigned to support program operations and organizational objectives.
  • Maintain effective working relationships with Cloudwell Water Technologies staff and provide them with the information and inputs required for successful collaboration on joint initiatives.

Required Skills and Qualifications:

  • University degree in a relevant field (such as communications, statistics, or data science).
  • Strong computer and data management skills (Google Sheets, Google Docs, Google Slides, Google Forms, Survey123, ArcGIS, Canva).
  • Experience in monitoring, evaluation, and data reporting.
  • Experience in communications and donor reporting.
  • Strong attention to detail and problem-solving skills.
  • Ability to read, write, and speak both Vietnamese and English fluently.
  • Strong interpersonal skills and ability to maintain professional relationships with schools and team members.
