Role Purpose
Reporting to the HWF Director and Deputy Director, the Fundraising Coordinator will work across all programmes to ensure that Help Without Frontiers has an ethical, cost-effective and sustainable fundraising base aligned with the needs and strategic plans of the Foundation. The Fundraising Coordinator will be responsible for securing diversified funding required to meet the targets in the Foundation’s strategic plan. This includes funding for both current and planned activities, minimising gaps between projects, and ensuring that staff salaries are covered for the upcoming year.
The Fundraising Coordinator will also be responsible for developing and guiding HWF’s fundraising and proposal development strategy for the future. This role will require close coordination with each of the four Programme Managers, the Deputy Director and the Director, to stay updated on the status of project funding and timelines from a wide range of donors.
Key Responsibilities
Internal Assessments
- Conduct assessments of HWF projects and strategic plans, meeting with Programme Managers to identify current and upcoming gaps in funding needs.
- Review and update HWF’s internal fundraising tools, including the Fundraising Strategy and Donor Tracking.
Donor Strategy and Mapping
- Conduct an assessment of global funding trends and donor priorities, especially in relation to HWF’s geographic and thematic areas of work.
- Lead on the creation of a donor outreach strategy for HWF programmes to follow, minimising time spent on proposals for unrealistic or unrelated funds.
- Include in the outreach strategy key language and themes that should be included in HWF general outreach and advocacy, linked to donor priorities.
- Update and improve the Donor Tracking tool, or create new tools to streamline the funding proposal process.
- Research and identify potential funding sources that HWF can apply for in 2026-27.
- Explore and assess new funding streams and innovative tools, ensuring a diversified portfolio that minimises risk.
- Work with Programme Managers and HWF staff to develop fundraising campaign and event strategies.
Proposal Management
- Lead on the development of funding proposals for both invitational and unsolicited funding opportunities, paying close attention to donor requirements and eligibility.
- Produce a template proposal that HWF staff can utilise for efficient proposal submission.
- Work closely with Programme Managers and the Deputy Director to finalise funding proposals and ensure that they align with HWF strategic plans and funding gaps.
- Ensure all supporting documentation (HWF registration documents, bank account details, audit reports, etc.) is collected in one shared online folder.
- Submit all developed proposals for relevant funding opportunities fully and on time.
- Meet with donor representatives, and accurately and effectively present and discuss project plans and budget details.
Database Management
- Ensure that the donor and funding tracking tools are maintained with clean data and clear information.
- Ensure that funding proposal tracking is updated with ongoing and submitted proposals, rejected, pledged and approved funding.
- Explore alternative CRM systems to improve HWF’s donor management.
Reporting Oversight
- Support Programme Managers and the Deputy Director to prepare and submit project reports fully and on time, according to donor deadlines.
- Keep track of the report calendar in HWF’s internal tools and remind Programme Managers and the Finance Team in advance of report deadlines.
- Monitor overall Foundation and Programme expenditures according to approved budgets and objectives, and raise flags to highlight expense issues or bottlenecks.
- Support the Finance Manager, Programme Managers and Deputy Director to review financial reports before submission.
- Ensure that donor comments on submitted reports are taken into account and incorporated as lessons learned in future reporting.
Stakeholder Engagement
- Build and maintain partnerships with representatives of donors, partners and key stakeholders.
- Explore new pathways for stakeholder engagement, such as with embassies, businesses, and the tourism sector.
- Create schedules and materials to keep stakeholders updated and for advocacy events.
