Position Overview

The Charity Officer will work closely with the senior leadership at ItsRainingRaincoats (IRR), supporting the day-to-day management of all internal operations and programs. The role involves coordinating with volunteers, managing external stakeholders, and ensuring smooth execution of IRR events and activities. The role also includes handling backend processes, operational matters, and supporting fundraising efforts. This position will report to the Head of Operations and collaborate with senior volunteer leaders to meet key performance indicators (KPIs) set by the board.

Key Responsibilities

1. Staff and Volunteer Management

  • Supervise interns to execute long-term and short term programs at IRR ensuring effective workload management.
  • Assist in identifying future hiring needs and coordinating recruitment efforts for volunteers and interns.
  • Oversee the recruitment, training, and retention of volunteers for various activities and events.
  • Manage the volunteer database, track program milestones and other key indicators of progress at IRR.

2. Operational and Backend Management

  • Handle day-to-day operational matters for IRR, including responding to stakeholder, donor, and corporate inquiries.
  • Ensure proper maintenance of IRR’s database, including worker information, media content, brochures, and annual reports.
  • Maintain accountability for the effective execution of all operational matters, ensuring smooth backend operations.

3. Event and Project Management

  • Execute key IRR events and activities throughout the year, coordinating with volunteers, internal and external stakeholders.
  • Monitor project progress and provide regular updates to the Executive Lead and board.
  • Take complete ownership of some of IRR’s new initiatives right from ideation to execution, leveraging the expertise of senior leadership as well as some of the lead volunteers.

4. Stakeholder Management

  • Support fundraising initiatives by providing backend support for grant applications and fundraising events.
  • Work to create synergies between all departments and streams within IRR to strengthen the charity’s overall impact.
  • Assist senior leadership in presenting updates and progress reports at board meetings.

5. Digital and Media Oversight

  • Oversee quarterly website updates, ensuring the IRR website is current and relevant.
  • Manage media and communication channels, including photos, videos, and public relations materials.
Profile

Key Qualifications

  • Experience: 3-5 years in operations, program management, or a similar role within a nonprofit or charity organisation will be an added advantage.
  • Skills: Strong organisational skills, with the ability to manage multiple projects effectively.
  • Communication: Excellent verbal and written communication skills, with the ability to liaise with external stakeholders, volunteers, and the board.
  • Tech Proficiency: Competency in using Microsoft Office, Google Workspace, and managing digital communication platforms.
  • Fundraising: Experience with fundraising initiatives and grant applications will be highly advantageous.
