About the role
In celebration of 30 years of Masungi's conservation movement, MGFI is looking for a highly organized and resourceful Flagship Events Project Manager to lead the planning and delivery of two major events in 2026:
Business & Biodiversity Forum — a convening bringing together leaders from business, conservation, government, and civil society to advance responsible approaches to development, renewable energy, and biodiversity.
Explorer Encounters 2026 — Masungi's flagship gathering celebrating people, ideas, and stories advancing conservation and positive change.
The Project Manager will serve as the central coordinating lead for both events, translating MGFI's vision and program direction into detailed plans and ensuring that teams, speakers, partners, suppliers, logistics, and timelines come together successfully.
The role is ideal for an experienced project or events professional who can move comfortably between strategic coordination and hands-on execution.
Key Responsibilities
1. Overall Project Management
- Develop and manage the master workplan, timeline, budget, and critical milestones for both flagship events.
- Coordinate workstreams across MGFI teams, external suppliers, venues, speakers, partners, and other stakeholders.
- Conduct regular project check-ins and maintain clear trackers for deliverables, deadlines, dependencies, and decisions.
- Identify risks and bottlenecks early and recommend solutions to management.
- Keep the Directors informed of major decisions, issues, and items requiring approval.
2. Program & Speaker Coordination
- Translate the approved event concepts into detailed program flows and run-of-show documents.
- Coordinate invitations, confirmations, briefing materials, schedules, and logistical requirements of speakers and special guests.
- Support the development of session formats and ensure that program elements remain aligned with the objectives and overall anniversary narrative.
- Coordinate rehearsals, technical briefings, and speaker management on event days.
3. Partners & Stakeholders
- Serve as a key coordination point for participating organizations, institutional partners, sponsors, and collaborators.
- Track commitments and ensure agreed partner deliverables are completed.
- Coordinate closely with MGFI leadership on VIP, government, corporate, conservation, and international guests.
4. Production & Logistics
- Lead coordination with venues, caterers, technical suppliers, designers, fabricators, transportation providers, and other event vendors.
- Secure and evaluate quotations and recommendations in coordination with MGFI's administrative team.
- Oversee venue layouts, registration, ingress and egress, technical requirements, transportation, meals, materials, and other logistical needs.
- Develop detailed event-day production schedules and contingency plans.
- Lead the event operations team during implementation.
5. Budget & Administration
- Maintain the approved project budget and track commitments and actual expenses.
- Ensure procurement and supplier requirements are completed on time.
- Coordinate contracts, billing requirements, and documentation with MGFI's administrative and finance teams.
- Flag potential budget overruns early and identify practical alternatives.
6. Communications & Guest Experience
- Work closely with MGFI's Communications and Marketing teams to ensure that invitations, event materials, registration communications, signage, and other guest touchpoints are delivered on schedule.
- Help design a professional, thoughtful, and distinctly Masungi guest experience.
- Ensure consistency between the event program, production, communications, and overall anniversary identity.
7. Post-Event Closeout
- Coordinate thank-you communications and post-event requirements.
- Consolidate attendance, documentation, partner and supplier deliverables, and event outputs.
- Prepare a concise post-event report covering results, lessons learned, budget performance, and recommendations.
- Ensure proper turnover and archiving of project files before completion of the engagement.
Qualifications
- At least 3–6 years of relevant experience in project management, events, conferences, activations, communications, development work, or related fields.
- Demonstrated experience managing complex events or projects involving multiple stakeholders and suppliers.
- Strong project management skills, including work planning, budgeting, deadline management, and problem-solving.
- Excellent written and verbal communication skills.
- Confident coordinating with senior executives, speakers, government representatives, corporate partners, NGOs, suppliers, and other stakeholders.
- Highly organized and comfortable managing several workstreams simultaneously.
- Able to work independently and make sound operational decisions while knowing when issues require management approval.
- Comfortable with intensive work periods immediately before and during major events.
- Willing and able to work on-site in Rizal and Metro Manila as required.
Experience in conservation, sustainability, development, advocacy, corporate events, conferences, or multi-stakeholder convenings is an advantage.

More than an events coordinator, we are looking for someone who can own the project from plan to execution.
The successful candidate should be calm under pressure, meticulous about details, proactive about solving problems, and comfortable taking responsibility for making things happen. They should understand that a successful event is not only one that runs smoothly, but one where the program, people, place, and experience come together with purpose.
Engagement Period
September 1 to December 31, 2026
The engagement will cover planning, production, implementation, and post-event closeout for our 2026 flagship anniversary events.
Some evening, weekend, and on-site work should be expected around major project milestones and event dates.
