Vacancy Name: Event Specialist

Job Purpose: The Event Specialist has responsibility for delivering a portfolio of knowledge and competence events, both digital and face to face, globally. Reporting to the Event Manager you will work within the product delivery framework and will ensure a high quality, efficient and consistent standard of product delivery across all markets, formats or channels.

Key Achievements & Responsibilities

  • Ensure all products are delivered in line with the latest industry trends and is engaging for customers
  • Collaborate across the product delivery team to ensure we are realising efficiencies, evaluating our products and developing a cycle of continuous feedback and improvement
  • Effective and collaborative relationships are built with both internal and external stakeholders
  • Delegate management – monitor bookings, send joining instructions, respond to enquiries
  • Venue management – secure suitable venues, negotiate competitive rates and manage venue requirements
  • Platform management – Set up, manage registrations and on the day hosting
  • Technical production management – book all technical equipment and technical support for events
  • Speaker management – complete speaker tech briefings, organize speaker travel and accommodation, coordinate speaker presentations, confirm final event details and manage their requirements on the day
  • Onsite management – coordinating events onsite, staffing the registration desk, welcoming delegates, sponsors and speakers, managing the venue, acting as an ambassador for RICS
  • Sponsorship/partnership management – working with sponsorship agency/Strategic Partnerships to maintain relationships with key stakeholders and ensure all contractual obligations are fulfilled
  • Post-event reporting – budget reconciliation, engagement reporting and feedback reporting for internal and external stakeholders

Expected Outcomes

  • Events delivered in line with delivery framework and service level agreements
  • Overall global operational performance of RICS K&C products are to agreed objectives, plan and global budgets and meeting customer service standards
  • Work collaboratively with stakeholders to deliver impactful knowledge and competence products
Profile

Experience Required

  • Strong experience in event management and working in partnership with cross functional, geographically dispersed teams and building trusted relationships
  • Digital event management experience
  • Technical background –experience with Adobe Dreamweaver, Photoshop, PowerPoint, video editing preferred
  • Culturally aware with the ability to operate effectively in a global role and work with teams from diverse cultural backgrounds and expertise
  • Highly organised and methodical approach with experience of working in a fast-paced constantly changing environment
  • Work collaboratively with stakeholders to create impactful knowledge and competence products
  • Working collaboratively with colleagues in a matrix environment
  • Customer focused, with the ability to build effective working relationships
  • Good interpersonal and communication skills, confident with all stakeholders
  • Negotiation skills
  • Ability to work on multiple projects and meet deadlines as required
  • Detail oriented and extremely organised
