➔ Description of the mission

The Projects Assistant is co-responsible for ensuring smooth and efficient implementation of project activities and internal office operations.

The fun part of this role is that you’ll wear many hats: coordinating events, supporting audits, streamlining finance processes, and helping build an agile, effective team. Every day will bring variety, purpose, and meaningful collaboration.

You will be challenged by balancing multiple priorities in a fast-paced project environment with tight deadlines. But you will be supported by your team!

After your first year, your greatest success will be that you’ve helped streamline our financial and administrative processes, supported a seamless audit, and helped our projects exceed operational goals, even when things didn’t go as planned.

The Team

Our team consists of six colleagues in the Philippines Country Office supporting local partner civil society organizations in catalyzing systemic change to prevent and address child exploitation.

The team is managed by a Country Director, supported by the Finance and Administration Unit and Programme Unit.

Result areas and core activities

Your job is to support relevant administrative and logistical preparations in the Country Office, including in preparing routine but vital tasks such as processing invoices, payment requests, preparing relevant financial documents and assisting with document preparations during audits.

To do this you will:

  • Support Project Coordinators in various logistical and administrative tasks during project implementation
  • Assist in organizing meetings, workshops, trainings, and other project events.
  • Assist the Finance and Administrative Officer in processing invoices and payment requests
  • Support the preparation of financial documentation required for reporting and audit purposes.
  • Help maintain proper filing systems for financial and administrative documents.
  • Contribute to compliance with internal control procedures during audits and financial reviews.

➔ Profile

Education: Bachelor's degree in Accounting or Business Administration

Experience:

  • Minimum of 3 years work experience in finance and office operations or a similar role. Preferably for an INGO, NGO, or governmental organization, in the related field of child protection and safeguarding.
  • Fluency in written and oral English communications is required.
  • Proven knowledge in the field of accounting and office operations.
  • Strong analytical and problem-solving skills.
  • Solid organizational skills, including those related to time management, planning, implementing, monitoring, and evaluating.
  • Working knowledge of Google Office tool set (e.g. Drive, Spreadsheets, Slides, etc.) and QuickBooks accounting software
