Role & responsibilities :

The Operations assistant will support directly the Managing director in the day to day operations of the organization. He/she will facilitate the administrative work such as reporting and official translations. He/she will support the preparation of annual seminars, internal meetings and external meetings with our stakeholders such as government, donors or partners.

Additionally to the admin tasks above, he/she will participate to field visit, on behalf of the director, and review the quality of the implementation activities directly with the beneficiaries and the project team.

  • Assess the quality of the activities implementation (ex: new water kiosks)
  • Verify the quality of the work according to the guidelines of the organization
  • Participate to meeting with the local authorities
  • Coordinate the different departments to ensure smooth implementation of the projects on the field
  • Accompany the director to field trips and partner visits
  • Follow-up the implementation of the communication plan towards our entrepreneurs
  • Coordination / Preparation
  • Prepare and organize meetings with the different department of the organization and with external stakeholder upon director request (venue, room, documents, tools)
  • Participate to the preparation of the seminars (contents, ideas sharing, translation of documents...)
  • Review supporting document such as PowerPoint, agenda or other tools prepared
  • Participate to the preparation of 20years anniversary of the organization
  • Coordinate the different department to ensure smooth communication and speed up the work processes
  • Admin
  • Prepare agenda and official letter towards the official authorities (meeting request, agenda, supporting letter…) in Khmer
  • Translate official or internal document in English and Khmer (policy, guidebook, internal announcement…)
  • Organize the logistic: Director trips, partners visits (hotel, car, bus, restaurant…)
  • Other :
  • Any others tasks assigned by the director
  • Represent the organization in external event or meetings if needed
  • Join and participate to operation committee and other meetings linked with operations
Profile

Professional qualification

  • Bachelor in administration, business or other relative to admin work of project
  • 3 years of experience as director assistant or project manager assistant
  • Required skills
  • Excellent organizational and planning skills
  • Quality and results oriented
  • Autonomous and curious
  • Good verbal and written communication skills (English and Khmer)
  • Able to often travel to province, appeal for rural projects
  • Driving license
  • Work in the water sector is a plus
