Job Highlight

The Papua Project Operations Officer will play an important role in supporting the efficient execution of project operations and administration within the Tanah Papua Program, from preparation to reporting, ensuring all task aligned with WRI Indonesia policies and procedures, and donor’s requirements. The responsibilities include but not limited to handling documentations for each activity ensuring a proper recording and reporting, oversee and meticulously handling travel arrangement for project team, event organizing, close collaboration with vendors and ensuring timely invoicing, project implementation financial management, and develop expenses report.

Reporting directly to the Papua Regional Senior Lead and in close supervision from Project Operations Specialist, this position will manage the accounting and financial aspects of multiple assigned projects, specifically in Tanah Papua. In carrying out daily task and external stakeholder engagement, this position required to work closely and collaboratively with the project team, and operations team.

This position will be based in Jayapura with office-flex working arrangement, and high travel frequencies to domestic destinations. What You Will Do

Finance Administration (45%)

  • Ensure accurate recording and reconciliation of projects expenditures (budget, funds, travel, petty cash)
  • Support program teams in reviewing project budgets and expenditures performance in close coordination with Project Operations Specialist and program team.
  • Coordinate and support audit visits, ensuring all documents, data, and information required by the auditors are prepared accurately and provided in a timely manner.
  • Reviewing advance settlement reports, travel expenditure reports, and financial requests for all Tanah Papua projects
  • Support Project Operations Specialists and Program Operation Managers in preparation of financial reports.
  • Process for external payment includes the processing and settlement of invoices from vendors, suppliers, partners, and other third parties.
  • Process internal employee’s claim and settlement include the expense reimbursement and cash advances

Project Management (25%)

  • Create Project Award Summary in place of all new Tanah Papua’s projects Assist Program Operations Specialist in coordinating with Program Team to complete Projects’ DIP.
  • Provide refreshment of WRI Indonesia operational policies and procedures to Tanah Papua team.

Operational (25%)

  • Provide support to Papua Regional Senior Lead, Project Operations Specialist and fellow Project Operations Assistant in managing back-office activities
  • Supporting Tanah Papua Program to ensure functionality of operations including coordinating document flow and organization, purchasing supplies, arranging travels and events, equipment and furniture, and communication; supports with project needs to provide events and meeting coordination across the organization.
  • Preparing, maintaining, monitoring, and improving the operational systems, processes, procedures and records in accordance to WRI Indonesia’s policy–specifically, support better management reporting, information flow and management, and organizational planning.

Occasional Significant Duties (5%)

  • Day to day assistance of other jobs in the Operations unit, as and when required.
  • Significant other duties as assigned by Papua Regional Senior Lead, Project Operation Specialist and Program Operations Managers.

Profile

Required Qualifications

What You Will Need

  • Bachelor’s degree in accounting, finance, business administration, management, or other relevant fields
  • Minimum 3 (three) years of relevant work experience in finance administration, project operations, project implementation, or administrative support, preferably in a non-profit or environmental organization.
  • Experience in processing payment including vendor’s invoice, staff claims, cash advance request and realization, and petty cash management.
  • Experience supporting audit process and preparing documentation for auditors
  • Strong understanding of basic accounting principles, financial control, and financial reporting.
  • Experience in coordinating procurement, logistics, and maintaining accurate documentation.
  • Proficiency in Microsoft Office Suite (Excel, Word, Powerpoint).
  • Business proficiency in Bahasa Indonesia and English for both verbal and written communications.
  • Ability to communicate in an organized, clear, and articulate manner for a wide range of audiences, including government, private sector and local NGOs.
  • Ability to manage multiple projects simultaneously with manager supervision while maintaining high accuracy and compliances.
  • Detail-oriented and organized thinkers with proactive attitudes who can juggle multiple, competing priorities.
  • Ability and willingness to travel when needed.
  • Legally able to work in Indonesia.

Preferred Qualifications

  • Experience working within multi-stakeholder/inter-sectoral groups such as government, private, civil societies, and other stakeholder engagement.
  • Basic understanding in sub-grant management protocols and policies among local CSOs and international donors.
