PURPOSE OF POSITION
The Resource Acquisition Officer provides administrative, coordination, and operational support to WVFT’s resource acquisition function under the Program Acquisition and Management (PAM) Directorate.
Reporting to the Resource Development Advisor, the role supports the smooth and timely functioning of resource acquisition processes across Integrated Program Frameworks (Education, Child Protection, Environment, Health). It focuses on coordination, documentation, scheduling, information management, and cross-team communication related to donor engagement, proposal development, and acquisition workflows.
The position plays a key role in ensuring that meetings are well-organized, information is tracked, documentation is complete, and teams are aligned — enabling specialist and advisor roles to focus on strategy, partnerships, and technical quality.
MAJOR RESPONSIBILITIES
Acquisition Coordination and Administrative Support 30%
Provide administrative and coordination support for resource acquisition activities, including scheduling meetings, preparing agendas, taking minutes, and following up on agreed actions. Support coordination of acquisition planning meetings and proposal review sessions.
Proposal and Pipeline Support 25%
Support proposal development processes by coordinating inputs, maintaining timelines, and tracking submission requirements. Maintain proposal and donor pipeline trackers under the guidance of the Resource Development Advisor.
Cross-Team and Internal Coordination 20%
Coordinate with Program Managers, Resource Acquisition Specialists, PQI, Finance, Branding & Communications, and Support Services to ensure timely flow of information and documentation for acquisition and donor engagement activities.
Documentation, Filing, and Information Management 15%
Maintain organized digital filing systems for proposals, donor communications, meeting records, and agreements. Ensure documents are stored in line with WVFT standards and accessible to relevant staff.
External Engagement and Meeting Logistics Support 10%
Support preparation of external meetings with donors and partners, including meeting logistics, invitations, briefing packs, and follow-up documentation. Assist with drafting routine correspondence and tracking external engagement actions.
