JOB DESCRIPTION

Administrative Staff

Primary Role: HR Assistant

I. Recruitment, On/Offboarding and Evaluation:

1. Assist in the recruitment process e.g., job advertisement, screening resumes, scheduling initial and final interviews

2. Assist in the preparation of employment contracts of all probationary and regular employees.

3. Assist in the preparation and the conduct of onboarding activities and orientation for new hires

4. Assists in the conduct of exit interview with resigning staff.

5. Assists in the scheduling and conduct of performance evaluation.

II. Employee Relations and Welfare:

6. Assists on all HR-related inquiries and concerns.

7. Assists in the development and implementation of employee wellness and capacity development of the organization.

8. Assists in the implementation and monitoring of organizational policies and procedures.

9. Provides assistance in the preparation of necessary requirements in compliance with the labor laws and regulations, employees mandatory benefits, and organizational legal requirements as mandated by the Philippine Law.

III. Employee Records:

10. Maintains an accurate and up-to-date employee records, including contracts personnel files, and performance evaluations, and other necessary related documents.

11. Maintains and updates all HR related trackers.

IV. Policy Development and Compliance:

12. Assists in the development of HR handbook and policies and procedures and relevant forms.

V. HR Administration and Reporting:

13. Provides assistance in the preparation and submission of all HR related reports as necessary.

VI. Performs other related tasks as may be assigned by the Admin Officer, Admin Finance Manager, the Deputy Executive Director and/or the Executive Director.

  1. Computer proficient in MS Suites, Canva, G-Suite, email and calendar tools, and other computer-related software;
  2. Experience in simple accounting procedures;
  3. Experience in records management;
  4. Experience handling and processing all government mandatory requirements;
  5. Experience handling travel booking on both land, sea, and air;
  6. Knowledge in analyzing and solving simple to complex situations.
  7. Ability to articulate in written and verbal communication;
  8. Ability to have critical thinking, problem-solving, independent judgment, and innovative methods on routine procedural concerns;
  9. Ability to collaborate effectively;
  10. Ability to adjust to a fast-paced environment;
  11. Ability and understanding of time management, and forward and strategic thinking;

JOB QUALIFICATIONS

  1. Candidates must possess at least a Bachelor's/College Degree of Psychology, Social Sciences and Human Resource Administration
  2. 2-3 years of proven administrative experience
  3. Willing to work (primarily) in the office, and with occasional fieldwork
  4. Must be dedicated to work, competitive, and a good team player.
  5. Flexible and can work under pressure
  6. Excellent in typing and Microsoft Application
  7. To be assigned in Quezon City
  8. Experience working in an NGO set-up is preferred but not required.
