Your Role
As an Administration Officer with Earthworm Foundation Thailand, you will play a pivotal role in supporting the organization’s success. Reporting to the Country Representative, you will be responsible for ensuring smooth operations, maintaining financial accuracy, and upholding regulatory compliance - all of which are essential to driving efficiency and impact across our work.
• Administration and Operations: Take charge of daily office management - from streamlining systems and documentation to coordinating communication, meetings, and logistics - ensuring smooth operations and professional support across the organization. Manage procurement and vendor coordination to keep supplies and equipment available, ensuring teams have the resources they need to deliver programs effectively.
• Finance and Accounting Support: Support financial integrity by managing expenses, invoices, payments, and bank transactions, while working closely with leadership and HQ teams to deliver accurate reporting and effective budget tracking.
• Compliance and Statutory Requirements: Safeguard the organization’s compliance by preparing statutory filings, managing tax obligations, and liaising with auditors and authorities, keeping records audit ready and aligned with regulations.
• Contract and Legal Coordination: Oversee contracts and agreements with partners, consultants, and vendors, ensuring documentation is clear, accurate, and properly tracked to support organizational commitments.
• Program and cross functional support: Work hand‑in‑hand with project teams to support documentation, reporting, and events, while driving process improvements that enhance efficiency across administration, finance, and operations.
Your Profile
This role is ideal for detail-oriented and proactive individuals who are eager to take ownership of administrative, financial, and compliance functions within a sustainability-focused, project-based organization. You will support the day-to-day operations of Earthworm Foundation Thailand, ensuring smooth coordination across teams, partners, and donors.
The Administration Officer will play a key role in managing documentation, financial records, and operational processes, including income and expense tracking, payment coordination, and contract administration. The role also supports foundation compliance requirements, including annual statutory submissions, tax filings, and coordination with auditors and relevant authorities.
You will work closely with project teams to support donor-related documentation, reporting, and data verification, ensuring alignment with project and organizational requirements. This position requires strong attention to detail, the ability to manage multiple priorities, and a high level of responsibility in handling administrative and financial tasks. • Education: Preferable Bachelor's degree in Business Administration, Accounting or related field.
• Experience: 3 years minimum
