CCA and ACSIS Manager

Job Purpose

1. Strategic Planning and financial overview for the CCA and ACSIS Program at GESS

2. Responsible for overseeing and coordinating the co-curricular activities

3. Responsible for overseeing the ACSIS Department

Coordination and o Engagement

  • Work in collaboration with the Head of Operations and the Head of PE on the strategic direction of the CCA department. Be responsible for implementation of strategic plans.

- Ensure a balance of activities across various domains such as sports, arts, cultural events, and community service.

- Work with curriculum coordinators about the program.

- Enhancing optimization projects to strategically prepare the department for future growth initiatives.

- Identify and engage qualified CCA providers to meet the increasing demand for extracurricular activities.

  • Team leading.
  • Conduct routine evaluations and optimize the CCA system.
  • Work in collaboration with the Finance and HR Department to ensure timely invoicing and payments of our external and internal CCA Providers.
  • Ensure the billing of parents after the trial period and follow up with overdue payments.
  • Provide timely information to the Head of Operation with regards to income and expenditure associated with CCA and ACSIS ' programme, when required.
  • Ensure the safety and well-being of students during co-curricular activities in collaboration with the safeguarding team.
  • Oversee logistics for all co-curricular and ACSIS events, including scheduling, venue arrangements, and resource allocation.
  • Liaise with teachers, coaches, and external facilitators to ensure smooth execution of activities including attendance taking.
  • Ensure accurate Lesson Plans and schedule quarterly Lesson Observation in collaboration with the Head of PE, Head of Operations and Director of Innovations.
  • Ensure appropriated Processes are in place and are followed including but not limited to:

- Dismissal Procedure

- Off Campus Procedure (including international Trips)

- Refund

- Incident

Administrative Tasks

  • Ensure proper communications about CCAs (CURRICULAR ACTIVITIES) and ACSIS with parents, student's teachers including homeroom teachers, via direct email or other means of communication.
  • Ensure up to date social media and parent portal information including class descriptions, pictures, overview, Events in collaboration with the Marketing Team.
  • Facilitate communication with our external providers about CCA Timetable and the School Holiday calendar.
  • Manage a smooth enrolment process for all parties, including standard procedures, Guidelines and terms and conditions that are operationally and commercially viable.
  • Generate statistics and provide recommendations regarding the CA and ACSIS Programme for next year.
  • Collate student/parent/teacher feedback, generate CCA statistics.
  • - Use the Feedback for the strategic development of the department and to provide a Feedback to all providers.
  • - Where needed review the Provider accordingly.
  • Ensure proper follow up on incidents.
  • Any other administrative task as required and/or directed by the Operations Manager.

Knowledge and Experience

  • Previous experience in coordinating co-curricular activities in an educational setting.
  • Strong organizational and planning skills.
  • Strong leadership and mentoring skills.
  • Knowledge of safety regulations and best practices for student activities.
  • Professional in written and spoken German and English, as you will be engaging with students, parents and colleagues who speak these languages.
  • Worked in either sport related activities or school environment.
  • Child protection knowledge.

Technical and Soft Skills

  • Basic IT skills including outlook, excel, power point, schools buddy.
  • Excellent communication and interpersonal abilities.
  • Ability to work collaboratively with a diverse range of stakeholders.
  • Organisational skills.
  • Customer relation skills required.
