Purpose of Role

▪ The Executive / Senior Executive for Volunteer Management of the Resource Development Department is an essential position to ensure the smooth running of the daily operations of the department.

▪ The incumbent is the administrator taking charge of administrative tasks as well as the custodian of data and information.

▪ He/ she also represents the organisation as the main liaison to co-ordinate volunteer sessions for corporate companies/ partners with the organisation’s Programmes Department.

▪ From time to time, he/ she will be required to assist in complex events organising and expected to carry out ad hoc tasks relevant to the department, and maybe outside of official hours.

Duties and Responsibilities

  • Keep track of all donation platforms including access identifications and passwords.
  • Ensure all data entry are up to date on Customer Relationship Management (CRM) systems for ease of exporting figures when needed.
  • Filing and organising both digital and printed documents.
  • First point of contact for donors and volunteers.
  • Co-ordinate corporate volunteers’ requests, from start to finish mainly as follows:
  • respond to enquiries on volunteer sessions available with on-going programmes such as PHW (Project HomeWorks), URD (Unlitter Red Dot), and any other upcoming volunteer programmes.
  • communicate with Programmes Department colleagues to schedule and confirm volunteers’ sessions
  • data input of corporate information on CRM and update accordingly
  • arrange issuance of invoices and receipts
  • meet with volunteers before and after sessions whenever necessary and possible
  • compile feedback to improve internal processes
  • send post session thank-you note
Profile

Competencies

  • A detailed-oriented and efficient multi-tasker who is also organised and resourceful.
  • Able to work independently and as a team contributor especially when working alongside internal stakeholders.
  • Competent in Microsoft Office Suite (Word, PowerPoint, Excel and Outlook) and CRM software; resourceful in search engines.
  • Effective communication skills both written and spoken.
  • Excellent interpersonal skills and can relate sensitively in a multi-cultural setting.
  • Fluent in English
  • Preferably able to speak Mandarin to communicate with Mandarin speaking donors.

A successful candidate would be someone who:

  • Has a bachelor’s degree.
  • Has a minimum of three years of volunteer engagement and management experience preferred; or any relevant experience in the social service sector.
