SEAD Bamboo is an impact enterprise providing building design and environmental consultancy services. Through SEAD Build, we provide specialist expertise in sustainable bamboo applications for the built industry.

As an environmentally-focused company, SEAD is also developing bamboo agro-forestry practices to deploy bamboo as a natural solution for the restoration of degraded lands in Malaysia. To date, SEAD has received RM1.05mil from Yayasan Hasanah, an impact-based foundation backed by the Ministry of Finance Malaysia to develop the bamboo supply chain in the country.

Position Overview

We are seeking a highly organized and detail-oriented Program & Research Coordinator to support our Bamboo Social Forestry Manager and Bamboo Plantation Manager. This role involves a blend of administrative support, project documentation, proposal management, research partner coordination, knowledge management, and monitoring & evaluation tasks. The ideal candidate will have strong organizational skills and a passion for sustainability, playing a key role in ensuring the successful implementation of our bamboo-centered projects.

Key Responsibilities

Administrative Support

  • Assist the Bamboo Social Forestry Manager and Bamboo Plantation Manager with daily administrative tasks.
  • Coordinate internal and external meetings, including scheduling, preparing agendas, and taking detailed minutes.
  • Manage calendars, schedule appointments, and organize field visits and trips.
  • Support general office administration, including filing, document management, and correspondence.

Documentation & Reporting

  • Maintain and update records of project activities, including financial documentation, project reports, and correspondence.
  • Prepare, organize, and submit timely reports for internal and external stakeholders.
  • Assist in the development and maintenance of project documentation systems, ensuring all data is accurate and up to date.

Proposal Management

  • Support the preparation and submission of funding proposals by conducting research, drafting, and editing proposal materials.
  • Coordinate with team members to gather necessary data and ensure proposals meet funding and submission requirements.
  • Track proposal timelines and deadlines, ensuring documents are submitted on time.

Research Coordination

  • Act as the primary point of contact for research partners, ensuring seamless communication and collaboration.
  • Assist in coordinating research activities and data collection related to bamboo forestry, social forestry, and agroforestry projects.
  • Support knowledge sharing and collaboration between research partners and internal teams.

Project Monitoring & Evaluation

  • Assist in tracking project progress and key performance indicators (KPIs) across bamboo social forestry and plantation initiatives.
  • Support data collection for monitoring, evaluation, and impact assessments.
  • Contribute to the preparation of project evaluations, impact reports, and lessons learned documentation.

Communication & Coordination

  • Serve as a liaison between the bamboo social forestry and plantation teams, facilitating smooth communication and collaboration.
  • Coordinate with external stakeholders, including community members, government bodies, and non-profit organizations.
  • Assist in the organization of events, workshops, and training sessions related to bamboo projects and research initiatives.

Knowledge Management

  • Develop and maintain a knowledge management system to capture, store, and disseminate information and lessons learned.
  • Facilitate the sharing of knowledge across teams, ensuring that insights and data are easily accessible to all stakeholders.
  • Collaborate with research partners to integrate research findings into the knowledge base and project planning.

Qualifications

  • Bachelor’s degree in environmental studies, sustainable development, forestry, agriculture, project management, or a related field.
  • 2+ years of experience in project coordination, administration, or related roles, preferably in environmental or sustainability sectors.
  • Experience in knowledge management, research coordination, and data management is an asset.
  • Strong organizational and multitasking skills, with the ability to manage multiple priorities and deadlines.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with project management tools.
  • Experience in proposal writing and reporting is highly desirable.
  • Passion for sustainability, ecosystem restoration, and regenerative practices.
