xchange is seeking an Operations Manager who wants to put their organizational and administrative skills to work, helping impact organizations achieve scale and sustainability, and is enthusiastic about working in a fast-growing start-up environment.

This person supports day-to-day operations by leading the processes related to managing the team, coordinating with partners and the associated administrative work, such as filing documents, reconciling statements, and running software programs. They will also manage/perform a range of general clerical, accounting and bookkeeping support functions in the organization.

This position will allow the candidate to apply their skills in making a real difference by supporting companies that deliver critical goods and services in sectors such as renewable energy, education, livelihood development infrastructure or health towards achieving our mission of improving the quality of life of marginalized communities in the Philippines. The position will be based in Manila, Philippines and will report directly to the Management Team.

Scope of responsibilities, include but may not be limited to:

  • Coordination with teams in the regional and global offices, especially regarding compliance requirements
  • Support Management-approved programs and their implementing teams
  • Support in all recruitment activities including but not limited to reviewing of resumes, short listing of candidates, interviewing, scheduling of next interviews
  • Support preparation of agreements and other legal contracts with the legal team
  • Handle tasks related to obtaining and maintaining proper legal status for employees, volunteers and consultants
  • Assist with onboarding of new hires
  • Work with the accounting team in:
  • Maintaining accounting records by making copies and filing documents.
  • Checking the periodic cash position reports and bank statements
  • Maintain accounting databases by entering data into the computer
  • and processing backups.
  • Assist in standard month end procedures which include but are not limited to analysis and resolution of accounting problems, BIR reportorial requirements, process gov’t agency requirements (SSS, Philhealth, etc.), City Hall and Brgy. Documents, etc.
Profile
  • Interested in impact-first solutions to today’s biggest social development issues
  • Experience in program and/or project management
  • Experience in management of administrative and related requirements
  • Experience in bookkeeping services and external audit a plus
  • Knowledgeable in computerized accounting is another plus
  • Knowledgeable in SEC, AML, BIR, payroll preparation, SSS, HDMF and Philhealth compliance/government requirements is again another plus
  • Experience in monitoring the use of the equipment and facilities of a company
  • Highly resourceful, independent, and self-starting
  • Open to learning new things and other skills
  • Suited to work in a fluid startup environment in the Philippines
