JOB DESCRIPTION
Job Title: Scar Of Life Program Coordinator
Reporting to: Director and Manager of the SOL program
Program: Scar of Life
Location: Ho Chi Minh City, Vietnam
POSITION OVERVIEW:
The Program Coordinator plays a key role in supporting the implementation and administration of the Scar of Life (SOL) Program. This position coordinates SOL's core initiatives, including Family Grant, Continuing Care, and Scholarship programs, while ensuring timely and accurate program documentation, payment coordination, donor support, and administrative operations.
The role works closely with beneficiaries, hospital partners, donors, volunteers, and the Finance Department to ensure smooth program delivery and accurate financial documentation.
KEY RESPONSIBILITIES:
Program Coordination (50%)
- Managing three component programs of Scar of Life, including Family Grant, Continuing Care, and SOL’s Scholarship, specifically:
- Verifying the beneficiaries and contacting the family to process the grant in a timely and appropriate manner
- Maintaining regular communication with beneficiary families and monitoring children’s health and progress.
- Updating the database and beneficiary records in a timely manner
- Preparing cash advances requests, financial supporting documentation, disbursing the grants, and preparing reports monthly
- Filing the supporting documents appropriately and sufficiently;
- Preparing the biography of the beneficiaries and reports to the donors, coordinating hospital visits with donors (as assigned by the Manager/Director);
- Reporting directly to the Director/Manager when required for different kinds of reports: government report, internal report, public report on social media, donor report, etc.;
- Being on time and well-prepared for the reception, including receiving the phone call and transferring it to the appropriate person-in-charge; welcoming guests to the office;
- Supporting SOL Manager/Director with any other assigned tasks.
Finance Administration and Payment Coordination (50%):
Supporting the financial administration of the SOL Program by ensuring payment documentation is complete, accurate, and submitted on time. Responsibilities include:
- Receiving and reviewing supporting documents for payment requests from 15 hospital partners to ensure completeness, accuracy, and compliance with internal policies and applicable regulations before submitting to the Finance Department. Coordinating with hospital partners to obtain missing information or revised supporting documents when necessary.
- Preparing payment requests for the hospital partners and stakeholders to ensure the payments are processed on time;
- Monitoring payment status and informing the hospital partners and stakeholders once the payments are completed.
- Filing the accounting supporting documents appropriately and sufficiently;
- Reporting Accounts Payable to the SOL Director/Manager on a quarterly basis or upon request;
- Supporting internal and external audits by providing accounting supporting documents and related information upon request.
- Receiving cash/ following up on bank transfer donations, notifying the Finance Department, and preparing and issuing donation receipts and thank-you letters (as assigned by the Manager/Director).
