Description of the mission

About the project

Makesense Circle Academy is a two-year incubator focused on circular solutions for plastic waste. The program aims to strengthen local circular economy efforts by supporting high-potential recycling enterprises in the National Capital Region, Region IV-A, and Cebu. The program is an initiative done under the EU-PH Green Economy Partnership: Green Business, Infrastructure, and Finance, implemented by Expertise France, co-led by the DTI Philippines, and co-implemented with GGGI Philippines.

Through this program, we will provide technical training, entrepreneurship coaching, and seed grants to seven recycling startups, with the goal of increasing plastic diversion, creating green jobs, and contributing to local environmental and economic priorities.

We are engaging Event Officers who will support the project by planning and managing events with our Program Team, as well as providing on-site coordination and documentation.

One Event Officer will be based in Metro Manila and will lead coordination for Luzon-based activities, while the other will be based in Cebu and will support Cebu-based activities, ensuring localized execution and responsiveness in both areas.

Key responsibilities

The key responsibilities of the Event Officer include:

  • Overall logistics management and liaising
  • Coordinating with the Program Team for event conceptualization, planning, and execution
  • Drafting and managing event run-of-sheets (minute-by-minute schedules), floor plans, and technical requirement lists
  • Venue and vendor coordination, including sourcing, canvassing, and managing relationships with venues, catering, and equipment rentals; ensuring all procurement processes comply with program requirements
  • RSVP and guest management, including inviting local government offices and other key program partners and stakeholders, managing participant registrations, coordinating travel/accommodation for Program Team, and handling pre-event communications
  • Creating registration forms and feedback forms; managing the backends of these forms
  • Answering questions asked by registered participants
  • On-site event coordination
  • On-site venue oculars, on-site event ingress and egress
  • On-site technical support, such as staffing tech booth and ensuring seamless changing of slides
  • Ensuring event documentation and managing or executing the capture of high-quality photos and videos during the event for social media updates and official reports
  • Organizing all raw and edited event media (photos, recordings, presentations) into a structured digital folder for the Comms team to use.
  • Consolidating event data, such as attendance sheets, feedback forms, and key takeaway summaries for the Program Manager and program stakeholders
  • Management of on-site event volunteers, if any
  • Coordination with the Program Team, including
  • Attendance of relevant team meetings and planning meetings
  • Submission of plans and documents as directed by the Program Manager

Role particulars

This is a project-based role, reporting to the Program Manager. Below is the expected work timeline:

This engagement will cover both legs, meaning that upon signing the contract, we assume that you will keep yourself available for 2027 assignments.

Notes:

  1. The number of demo days per Event Officer will be assigned once founders’ locations are confirmed.
  2. Payment is output-based; only completed deliverables are paid.
  3. Weekly check-ins with the Program Manager are included in paid workdays.
  4. Travel or out-of-pocket costs related to the project will be reimbursed separately, provided that the expense is eligible for reimbursement according to donor guidelines and available budget lines.

Your profile

We are looking for a dynamic, logistics-oriented Event Officer who thrives in the fast-paced environment of live programs and startup competitions. You are the "anchor" of our on-site operations — someone who can see the big picture of an event’s goals while meticulously managing the smallest details of a run-of-show. As an Event Officer, you ensure that every participant, partner, and speaker has a seamless and professional experience.

We are looking for an experienced professional who has:

  • Demonstrated experience in planning and executing end-to-end events, preferably within the startup, incubator, or development sector (e.g., hackathons, demo days, or multi-stakeholder launches) — 2+ years preferred
  • Expert-level ability to manage logistics, including vendor canvassing, venue coordination, budget tracking, and minute-by-minute program flows
  • Basic ability to capture or coordinate high-quality event documentation (basic photography/videography) to ensure the program’s impact is recorded for partners and social media
  • A calm and commanding presence during live events, with the ability to troubleshoot technical or logistical issues on the fly without breaking a sweat
  • Based in Metro Manila or can easily access Metro Manila; OR based in Cebu
  • Highly organized and detail-oriented, able to deliver under tight deadlines and to comprehensively address feedback from multiple stakeholders
  • Comfortable coordinating with stakeholders to cohesively harness and synthesize feedback
  • Excellent communication skills in English, Filipino, and/or Cebuano
  • Ability to work independently and proactively manage timelines
  • Proactive, reliable, and able to work independently with minimal supervision
