Your Mission

As Operations Manager, you will play a critical role in ensuring the smooth and efficient management of Makesense Asia’s internal processes, supporting the team in delivering high-impact programs across Southeast Asia.

Makesense operates through four legal entities registered in the Philippines and Singapore. In this role, you will oversee the administrative, financial, and operational management of these entities, ensuring that all processes are aligned with the organization’s mission, goals, and values.

Your work will be central to scaling our impact by optimizing internal systems, strengthening compliance, and fostering a healthy, efficient, and mission-driven work environment.

Your Responsibilities

🔹 Strategic Operations & Process Optimization

  • Develop, implement, and refine operational processes to improve efficiency and effectiveness.
  • Ensure alignment of internal operations with Makesense Asia’s mission and objectives.
  • Identify bottlenecks and propose solutions for better workflow management.

🔹 Finance

  • Oversee financial planning, budgeting, and expense tracking in collaboration with the finance team.
  • Schedule outgoing payments
  • Track and Manage reimbursement claims
  • Coordinate with accountants or external finance service providers to ensure compliance of makesense Asia financial operations (Financial Statement, Audit, etc…)
  • Ensuring payments align with budgets and internal policies
  • Manage contracts, invoices, and operational expenses efficiently
  • Ensure compliance with financial policies, donor requirements, and local regulations.

🔹Administration

  • Coordinate with the corporate secretary to ensure company filings (e.g., annual returns, shareholder resolutions) are completed on time.
  • Maintain proper documentation of board minutes, incorporation papers, shareholding structures, etc.
  • Serve as the point of contact with external legal counsel for day-to-day matters (contracts, compliance questions, regulatory filings).
  • Support contract management: organize, track, and renew agreements (client contracts, supplier contracts, NDAs, MOUs).
  • Ensure the organization is up-to-date with statutory obligations (e.g., company registration renewals, employment law updates).
  • Maintain records for audits, funders, or government agencies.
  • Update or implement internal policies and procedures to stay aligned with legal or operational best practices.

🔹 HR & People Operations

  • Support hiring, onboarding, and professional development processes.
  • Ensure compliance with labor laws and HR policies in collaboration with the leadership team.
  • Contribute to a positive and inclusive team culture by implementing policies that promote well-being and engagement.

🔹 Logistics & Risk Management

  • Ensure smooth execution of programs and events by handling logistics, vendor management, and procurement.
  • Identify operational risks and implement mitigation strategies.

🔹 Technology & Tools Management

  • Oversee the implementation and maintenance of project management, communication, and operational tools.
  • Improve internal knowledge management systems and processes.
Profile

Your Profile

Key Professional Experience

✅ 3-5 years of experience in operations, administration, finance, project management, or compliance roles.

✅ Experience working in SMEs, startups, nonprofits, or social enterprises (where people often wear multiple hats)

✅Previous experience handling:

✅ Financial processes (budget tracking, invoice processing, reimbursements)

✅ Corporate admin (liaising with lawyers, secretaries, auditors)

✅ Regulatory compliance (basic knowledge of corporate filings, licenses, etc.)

✅ Familiarity with project management, report generation, and internal policy development

✅ Experience coordinating with external service providers (accountants, legal counsel, banks)

Skills and Competencies

✅ Strong problem-solving skills, attention to detail, and the ability to improve processes.

✅ Experience in financial management, budgeting, and HR policies is a plus.

✅ Financial literacy: Comfortable working with budgets, financial statements, and basic tax concepts

✅ Good judgment and discretion: Handling sensitive documents, contracts, and company information

✅ Tech-savvy, with familiarity with digital tools (Google Suite, Notion, Slack, etc.).

✅ Excellent organizational and time management skills.

✅ Ability to work independently and in a fast-paced, dynamic environment.

✅ Passionate about social impact, sustainability, and Makesense Asia’s mission.

Technical Skills & Academic/Professional Experience

📌 Education: Bachelor’s degree in Business Administration, Operations Management, Finance, Human Resources, or a related field (Master’s degree is a plus).

📌 Project & Process Management: Experience in workflow optimization, process automation, and operational efficiency strategies.

📌 Financial Acumen: Strong understanding of budgeting, expense tracking, and financial reporting.

📌 HR & Compliance: Familiarity with labor laws, recruitment processes, and team development strategies.

📌 Technology Proficiency: Experience with digital project management tools digital tools (Google Suite, Notion, Slack, etc.).

📌 Risk & Crisis Management: Ability to assess risks, implement mitigation strategies, and ensure business continuity.

📌 Experience in the Social Impact Sector: Previous work in NGOs, startups, or mission-driven organizations is a strong plus.
